How to schedule a conference room at UVU
Schedule a conference room at UVU using the 25Live Scheduling System.
- Go to MyUVU, click on Employee Resources, then on the right under Campus Services, click on Event Scheduling, then scroll down a little and click on 25Live Scheduling System.
- As a sidenote, if you ever want to find a room’s availability, on this page (the 25Live page), on the left, you can enter a building and room number in the Search Locations field to see the daily and weekly schedule for a given room. This is useful if you want or need to look for different room if your preferred room is not available. This is also a helpful page to see a full list of room details (like capacity and type) in each building.
- To schedule a room, click on Event Form at the top right. Most of the fields are fairly easy to fill out, but I’ve done this a lot and maybe am too familiar with it, so let me know if you have any questions about any of them.
- Be aware that the system will not let you reserve a room less than 3 days in advance. If you need a room less than 3 days in advance, your best option is to see when the room is available and just go use it. If that’s a concern, contact me and we can figure something out.
- For the Primary Organization, just use Woodbury School of Business. The Department or TGH don’t have entries in this field.
- For the Location Search, just enter the room you want to reserve in the Search Locations field and hit Search. As long as there aren’t scheduling conflicts, you can then reserve it. If there are conflicts, you either have to change your room or your meeting day/time.
- For just a basic meeting, you likely won’t need a big setup (i.e., specific table and chair set up, podium, mic, etc.) so click Reserve on no resources needed. If you do need resources, let me know and I can give you more help on that.
- For the Event Description, put in the title again or a very brief description and your name and email.
- Click on Save at the bottom. You’ll get an email with a tentative reservation initially, then a confirmed reservation once Event Services has officially booked it. It might be good to forward me that email so that I can help if any questions come up, since I’m otherwise not in that loop.
