Green House Video Shoot Process

If you've never done a video shoot before here are the basics of all the things you should consider. The actual template to prepare for the shoot is a lot simpler but here is a more robust plan to understand the shot list. 

 

Main- Tasks

Review Content strategy/additional research 

Create shot list /review with PM or consultant 

Shoot prep/ confirm shoot with client 

Post shoot follow up (in a meeting or otherwise) - client communication and review with them in meetings the content. 

 

PHASE 1: STRATEGY ALIGNMENT (Required Before Any Planning)

If repurposing → complete repurposing training first.

  1. Define Strategic Objective
  • What is the primary goal?
    • Awareness
    • Lead Generation
    • Authority/Brand Building
    • Sales Conversion
  • How will we measure success?
    • Views
    • Follows
    • Shares
    • Leads
    • Conversions
  • Review Core Messaging Doc
  • Define:
    • Target audience
    • Customer problem being addressed
    • Funnel stage

Output:
✔ Clear content goal
✔ KPI defined
✔ Messaging direction aligned

PHASE 2: RESEARCH & CREATIVE DIRECTION 

  • Review competitor content
  • Identify strategically aligned trends
  • Save example references
  • Confirm platform specs (Reel/TikTok, etc.)

Output:
✔ 3–5 example references
✔ Clear creative direction

PHASE 3: PRE-PRODUCTION

  1. Shot List Development

Each video must include:

  • Short description (not just a number)
  • Hook (visual + verbal/text on screen)
  • Script or prompt questions
  • Audio link (if trend-based)
  • Format (9:16 vertical)
  • Intended KPI (optional but recommended)

If no example exists → create frame-by-frame shot plan.

  1. B-Roll Planning (Mandatory)

Capture 2 types:

1️⃣ Dynamic B-Roll

  • Movement-based shots
  • Can be used across multiple videos

2️⃣ Static B-Roll

  • Steady framing
  • Designed for text overlays
  • Usable for static posts
  1. Shoot Logistics Checklist
  • Confirm date + time
  • Confirm location access
  • Lighting conditions checked
  • Charging/power access
  • Equipment checklist:
    • Camera (whose phone will you film it?) Make sure your phone is fully charged.
    • Mics
    • Tripods
  • Wardrobe guidance sent
  • Props confirmed
  • Backup plan (weather/tech failure)

PHASE 4: CLIENT COMMUNICATION

Before Shoot

  • Send confirmation email/message
    • Date/time
    • Location
    • Expectations
    • Time commitment
    • Needed props/people
  • Schedule calendar block

After Shoot

  • Send thank you
  • Confirm editing timeline
  • Set expectation for delivery date

PHASE 5: SHOOT DAY EXECUTION

  • Assign roles if necessary
    • Lead filmer 
    • Assistant
    • Detail checker
  • Test audio before filming
  • Check lighting
  • Capture primary shots
  • Capture alternates
  • Capture B-roll (both types)
  • Review footage before leaving

DO NOT leave without confirming:
✔ Audio quality
✔ At least 2 usable takes per core clip

PHASE 6: POST-PRODUCTION

Editing Platform: DaVinci Resolve (Free)

Editing Standards:

  • Format vertical (9:16)
  • Optimize hook (first 3 seconds matter most)
  • Clean captions
  • On-brand text styling
  • Remove filler

Internal Review Before Sending:

  • Is hook strong?
  • Does this align with strategy?
  • Does this solve the target problem?

PHASE 7: DELIVERABLES

File Naming Convention

ClientName_VideoConcept

Folder Structure

Folder 1: Completed Content

  • Final videos
  • Captions (Google Doc)
  • Audio links
  • Platform-ready files

Folder 2: Raw Files

    • No text overlay
    • Organized by concept

PHASE 8: CLIENT REVIEW PROCESS

    • Review content with the client in the meeting. 

✔ 1 Round of Revisions Included

Feedback Requirements:

    • Must leave comments in Google folder
    • Include timestamps
    • Be specific

Timeline:

  • Client has X days to submit revisions
  • GH has X days to implement

Clarify:
Revision = small edits (text, trim, caption changes)
Reshoot = new filming required (not included unless approved)


PHASE 9: PERFORMANCE REVIEW

After publishing:

Share instagram stats with clients. Show them the stats in meta business suite. 

  • Track KPIs
  • Compare to goal
  • Identify:
    • Top hooks
    • Retention drop-off
    • Engagement drivers
  • Document learnings
  • Adjust future strategy
